Multi-Location Balance Viewing

If your business operates from multiple locations, AccuArk lets you view account balances broken down by individual store. This guide explains how per-location balance calculations work in the Chart of Accounts.

How It Works

Every transaction in AccuArk is associated with a location. When you select a specific location in the Chart of Accounts, the system recalculates each account's balance using only transactions from that location.

Using the Location Filter

  1. Open Business > Chart of Accounts
  2. In the toolbar, find the Location dropdown
  3. Select a specific location to see per-location balances
  4. Select All Locations to see the aggregate balance across all stores

How Balances Are Computed

All Locations (Default)

When All Locations is selected, the balance shown for each account is the stored balance from the chart_master table. This is the aggregate total across all locations and is the most efficient to display.

Specific Location

When a specific location is selected, AccuArk performs a live calculation:

  1. It queries the account_transactions table, filtering by the selected location_id
  2. For each account, it sums all debits and credits from transactions at that location
  3. It applies the normal balance formula:
    • Debit-normal accounts: Balance = SUM(debits) - SUM(credits)
    • Credit-normal accounts: Balance = SUM(credits) - SUM(debits)
  4. The calculated balance is displayed in the Balance column

This means per-location balances are always up to date but may take slightly longer to load for accounts with many transactions.

Location Access Requirements

You can only see balances for locations you have been granted access to. Access is controlled through the user_location_access table, which requires the view_transactions flag to be set to 'y' for the user at each location.

If you do not see a location in the dropdown, ask your administrator to grant you location access with the view_transactions permission.

Where Else Location Filtering Applies

The location filter is available on all financial reports:

  • Account Transactions — View transactions for a specific account at one location
  • Financial Dashboard — All six panels filter by location
  • Trial Balance — Debit and credit balances recalculate per location
  • Profit & Loss — Revenue and expenses filter to the selected location
  • Balance Sheet — Assets, liabilities, and equity per location
  • AP Aging — Outstanding bills filtered by the bill's location
  • AR Aging — Outstanding invoices filtered by location

Tips

  • Use per-location views for reconciliation — Compare each store's cash account balance against bank statements to catch discrepancies early
  • Check the All Locations total — After reviewing individual locations, switch back to All Locations to verify the aggregate makes sense
  • Grant view_transactions carefully — The location access permission controls which financial data each user can see. Only grant access to locations the user needs for their role
