Using the Asset Dashboard

The Asset Dashboard provides an executive-level overview of your entire asset portfolio on a single screen. It combines summary cards, visual charts, an alerts panel, and a recent activity feed so you can monitor asset health, identify issues, and take action without digging through individual records.

How to Access the Dashboard

Navigate to Assets > Asset Dashboard from the main menu bar. The dashboard opens within the main application window inside the main AccuArk application.

Required Permission: View Assets. Users without this permission will not see the Asset Dashboard menu item.

Summary Cards

Across the top of the dashboard, four summary cards display key metrics at a glance:

CardWhat It Shows
Total AssetsThe total number of asset records in the system, regardless of status. This includes active, in storage, under repair, and disposed assets.
Active AssetsThe number of assets currently in active status. These are assets that are in service and being used. Disposed assets and assets in storage are excluded from this count.
Under RepairThe number of assets currently marked with an under_repair status. This helps you quickly see how many assets are temporarily out of service due to maintenance or repair work.
Total Asset ValueThe total capitalized cost of all active assets. This is the sum of the capitalized cost (purchase + shipping + installation + other) for every asset in active status. It represents the total investment in assets currently in service.

These cards update every time the dashboard loads or is refreshed. They provide a quick health check without any scrolling or clicking.

Value by Location Chart

Below the summary cards on the left side, a bar chart displays the total asset value broken down by business location. Each bar represents one location, and the height of the bar corresponds to the total capitalized cost of active assets at that location.

This chart is useful for:

  • Budget Planning — See which locations have the highest concentration of asset value and plan capital expenditures accordingly
  • Insurance Review — Verify that insurance coverage at each location is proportional to the asset value stored there
  • Risk Assessment — Identify locations with high asset concentration that may need additional security or disaster recovery planning

The chart automatically adjusts when you apply a location filter, showing only the filtered location.

Category Breakdown Chart

Next to the value chart, a column or pie chart shows the number of assets in each category. Categories are defined in the Asset Category Manager (for example, IT Equipment, Vehicles, Furniture, Machinery).

This visualization helps you understand your asset mix:

  • Portfolio Composition — See at a glance which categories contain the most assets
  • Replacement Planning — Categories with many aging assets may need budget allocation for replacements
  • Audit Prioritization — Focus physical audits on categories with the highest asset counts first

Hovering over a chart segment shows the exact count and category name.

Alerts Grid

The alerts panel is one of the most actionable sections of the dashboard. It displays a grid of items that need your attention, organized into four alert types:

Warranty Expiring Soon

Lists assets whose warranty end date falls within the next 30 days (or a configurable threshold). Each row shows the asset name, asset number, warranty end date, and the number of days remaining. This gives you time to decide whether to purchase an extended warranty, plan for out-of-pocket repairs, or budget for a replacement.

Maintenance Overdue

Lists assets that have a scheduled maintenance event whose due date has passed without a completed maintenance record. Each row shows the asset name, maintenance type, scheduled date, and how many days overdue it is. Overdue maintenance can lead to equipment failure, safety issues, or voided warranties, so these alerts deserve prompt attention.

Overdue Checkouts

Lists assets that were checked out to employees and not returned by the expected return date. Each row shows the asset name, the employee who has the asset, the checkout date, the expected return date, and how many days overdue the return is. This helps you track down missing equipment and hold employees accountable.

Pending Approvals

Lists acquisition, transfer, and disposal requests that are waiting for approval. Each row shows the request type, asset name, requested by, submission date, and the value involved. This alert ensures that approval requests do not sit unattended, which could delay operations.

Each alert row includes enough detail to understand the issue. You can double-click on an alert row to open the relevant form and take action directly.

Recent Activity Feed

The bottom section of the dashboard displays a chronological feed of the last 15 actions recorded in the asset activity log. Every significant event in the asset module is logged, including:

  • Created — A new asset was added to the system
  • Edited — An existing asset record was modified
  • Transferred — An asset was moved to a different location
  • Checked Out — An asset was checked out to an employee
  • Returned — A checked-out asset was returned
  • Maintenance Logged — A maintenance event was recorded
  • Depreciation Posted — A depreciation run was completed
  • Disposed — An asset was disposed of
  • Approved / Rejected — An approval request was processed

Each entry in the feed shows the action type, asset name, the user who performed the action, and the date and time. The feed provides a running audit trail that helps you stay aware of recent changes across your asset portfolio.

Location Filter

At the top of the dashboard, a location dropdown lets you filter all dashboard data to a specific business location. When you select a location:

  • Summary cards recalculate to show only assets at the selected location
  • The value chart highlights only the selected location
  • The category breakdown shows only assets at that location
  • Alerts are filtered to show only items relevant to assets at that location
  • The activity feed shows only events for assets at that location

Select All Locations (the default) to see the full portfolio view. The location filter respects your user location access permissions, so you only see locations you are authorized to view.

Refreshing the Dashboard

The dashboard loads its data when it first opens. To refresh all panels with the latest data, press F5 or click the Refresh button on the toolbar. This re-queries all summary cards, charts, alerts, and the activity feed.

Refreshing is useful when you have been working in other parts of the asset module and want the dashboard to reflect your recent changes.

Tips for Effective Dashboard Use

  • Review the dashboard weekly. Make it part of your regular management routine to check for alerts and review portfolio health.
  • Address alerts promptly. The alerts panel highlights issues that can escalate if ignored. Overdue maintenance, expiring warranties, and overdue checkouts all benefit from quick action.
  • Use the location filter for site-specific reviews. If you manage multiple locations, filter to each location during your review to assess them individually before looking at the overall portfolio.
  • Use the activity feed for change awareness. The recent activity feed helps you stay informed about what other users are doing with assets, especially in multi-user environments.
  • Compare the value chart with insurance coverage. Cross-reference the value by location chart with your insurance policies to make sure coverage matches the asset value at each site.
