Asset Reports Overview

AccuArk's Asset Management module includes a comprehensive suite of reports covering every aspect of asset lifecycle management. From financial valuation to maintenance tracking to compliance auditing, these reports give you the data you need to make informed decisions about your fixed assets.

How to Access Asset Reports

All asset reports are located under the Reports menu in the main menu bar. Navigate to Reports > Assets to see the full submenu of available reports.

Required Permission

You must have the Asset Reports permission to access any asset report. Without this permission, the Assets submenu under Reports will not be visible. Contact your administrator if you need access. See Asset Permissions & Role Setup for details on how permissions are granted.

Available Reports

The following reports are available under the Assets submenu:

Financial Reports

  1. Asset Register Report — A complete listing of all assets with purchase cost, accumulated depreciation, and current book value. This is your primary reference for the full asset inventory.
  2. Asset Valuation Report — Asset values with percentage depreciated, grouped by category and location. Use this report to understand how much value remains in your asset base.
  3. Assets by Employee Report — Shows which assets are assigned to each employee. Useful for accountability tracking and termination checklists.
  4. Summary by Location Report — Aggregate counts and values of assets grouped by location and category. Ideal for comparing asset distribution across your business.

Depreciation Reports

  1. Depreciation Schedule Report — Month-by-month depreciation detail for each asset, showing beginning book value, period depreciation, and ending book value.
  2. Depreciation Forecast Report — Projected future depreciation amounts for budget planning and cash flow forecasting.
  3. Fully Depreciated Assets Report — Lists active assets that are fully depreciated (book value equals salvage value). Helps identify candidates for replacement or disposal.

Operations Reports

  1. Asset Transfer Report — Historical record of all asset transfers between locations, including who performed the transfer and why.
  2. Asset Disposal Report — Record of disposed assets with disposal method, sale proceeds, book value at disposal, and calculated gain or loss.
  3. Maintenance Cost Report — Total maintenance spend by asset with breakdowns for labor, parts, and external service costs.
  4. Maintenance Due Report — Upcoming and overdue scheduled maintenance tasks, helping you stay on top of maintenance compliance.

Coverage and Compliance Reports

  1. Insurance Coverage Report — Insured assets with policy details, insured values, and premium costs.
  2. Lease Payment Report — Lease obligations with payment schedules, remaining amounts, and lease status.
  3. Warranty Expiration Report — Warranty end dates for all assets, with status indicators for expiring soon and expired warranties.
  4. Audit Discrepancy Report — Results from physical audits showing discrepancies between expected and actual asset conditions or locations.

Common Features Across All Asset Reports

Every asset report shares a consistent set of tools and behaviors. Once you learn these features on one report, you can use them on all of them.

Filtering

  • Location filter — A dropdown at the top of every report lets you filter by a specific location or select All Locations. The location list respects your user location access, so you will only see locations you are authorized to view.
  • Date range — Most reports include From and To date pickers that let you constrain the report to a specific time period. Date-bounded reports include the Transfer, Disposal, Maintenance Cost, Insurance, Lease, and Audit Discrepancy reports.

Status Bar

The status bar at the bottom of every report displays the total record count, so you can quickly see how many items matched your filter criteria.

Tips for Working with Asset Reports

  • Export to CSV for further analysis — If you need to perform calculations, create pivot tables, or combine data from multiple reports, export to CSV and open the file in Excel or Google Sheets.
  • Use PDF export for archival and compliance — PDF exports are ideal for storing permanent records, attaching to audit documentation, or sharing with stakeholders who do not have access to AccuArk.
  • Combine multiple reports for a complete picture — No single report tells the whole story. Use the Asset Register for the current snapshot, the Depreciation Schedule for financial history, and the Maintenance Cost Report for operational spending to get a full understanding of asset health.
  • Set date ranges thoughtfully — For financial reporting periods, align your date ranges with your fiscal year or quarter boundaries. For operational reports, use shorter ranges to focus on recent activity.
  • Check your location filter — If a report seems to be missing data, verify that the location filter is set to All Locations rather than a specific location.
