Bills Report — Detailed and Summary Views
The Bills Report provides a comprehensive view of your bills data for analysis, auditing, and financial review. It offers two viewing modes and multiple filtering options to help you find exactly the information you need.
Opening the Bills Report
Navigate to Reports > Bills Report from the main menu. The report opens within the main application window. You need the FIN_VIEW_REPORTS permission to access this screen.
Detailed View
The detailed view shows one row per bill. Each row includes:
- Bill ID
- Vendor name
- Bill amount
- Balance remaining
- Bill date
- Due date
- Location
- Status
- Entered by (the user who created the bill)
The detailed view is useful when you need to examine individual bills, verify specific entries, or track down a particular bill by its characteristics.
Summary View
The summary view aggregates bill data to provide totals and overviews. Instead of listing every individual bill, the summary groups data by vendor, location, or other criteria and shows total amounts, total balances, and bill counts.
The summary view is useful for:
- Seeing how much you owe each vendor in total
- Comparing bill volumes across locations
- Getting a quick overview of your total outstanding payables
- Presenting financial summaries to management
Filtering Options
Both report views support the following filters:
Vendor Filter
Select a specific vendor to see only their bills in the report, or leave it on All Vendors to include every vendor.
Date Range
Set start and end dates to limit the report to bills within a specific time period. This filters by the bill date, not the due date.
Location Filter
Filter the report by business location. This is useful for multi-location businesses that need location-specific financial reports.
Status Filter
Filter by bill status to focus on specific categories. For example, filter to Overdue to see only past-due bills, or filter to Unpaid to see all outstanding bills.
Totals Row
Both report views display a totals row at the bottom that sums up the key financial columns. This gives you instant access to the total bill amounts and total outstanding balances for the filtered data set.
Exporting and Printing
The report supports printing directly from the report screen. The printed output includes all visible columns and the current filter settings so you can identify what data is included in the printout.
