Exporting Employees

How to Export

  1. Open the Data Exchange Center from the Business menu
  2. Click Export on the Employees card
  3. Select the Location you want to export employees for
  4. The wizard displays the number of employee records available (e.g., "Ready to export 34 Employees records")
  5. Click Export to CSV and choose a save location

What Gets Exported

The CSV file includes one row per active employee at the selected location with the following fields: Full Name, Username, Email, Phone, Position, Hire Date, Salary Type, and Salary Amount.

Passwords are never exported. For security, AccuArk excludes all password-related fields from the export. This ensures that exported files can be safely stored, shared with managers, or used for auditing without risking credential exposure.

Location Filtering

Because employees are assigned to specific locations, the export is filtered by the location you select. If you need a complete roster across all locations, run a separate export for each location.

Common Uses

  • As a template — If you have not yet added employees, the export produces a CSV with only the column headers. Open this file in Excel, fill in your employee data, and import it back into AccuArk. This is the easiest way to ensure your columns match exactly.
  • For bulk updates — Export your current employee list, make changes in Excel (update phone numbers, correct positions, adjust salary information), save the file, and re-import it. AccuArk matches employees by username and updates existing records with the new values.
  • For offline reference — Keep a current employee directory as a spreadsheet for quick lookups, contact information, or sharing with department managers.
  • For auditing — Export the roster periodically to review employee details, verify hire dates, or reconcile salary information with your payroll system.
  • For migration — If you need to move employee data to another system, the CSV export provides a portable, standard format.

Tips

  • Bulk update workflow — Export, edit in Excel, and re-import. Because employees are matched by username, existing records are updated and new rows become new employees.
  • Salary review — Export the employee list to review compensation details in a spreadsheet before making adjustments through the import process.
  • Keep exports secure — Although passwords are excluded, the export still contains personal information such as names, emails, phone numbers, and salary details. Store exported files in a secure location and limit access to authorized personnel.
