How to Create and Manage Employee Schedules
AccuArk's scheduler lets you build and manage employee work schedules from a visual grid. Open the scheduler from the main menu by navigating to Scheduling.
Views
The scheduler offers two views:
- Week view — A grid with employees listed along the left side and days of the week across the top. Each cell is divided into 1-hour time slots so you can see at a glance who is working and when. A sticky header keeps the day columns visible as you scroll through a long employee list.
- Day view — A single-day timeline that shows all employees and their shifts for the selected date. This view is useful for checking coverage during specific hours.
Creating a Shift
To create a new shift, click on an empty slot in the schedule grid or use the Add Shift button. Fill in the following details:
- Date — The day of the shift
- Start time — When the shift begins
- End time — When the shift ends
- Break minutes — The total break time included in the shift
- Location — The work location for the shift
Click Save to add the shift to the schedule.
Shift Sources
Every shift has a source that indicates how it was created:
- Manual — Created by hand through the scheduler
- Template — Generated from a schedule template
- Modified — Originally created from a template but subsequently edited
Shift Statuses
Shifts move through the following statuses:

| Scheduled | The shift is planned and upcoming |
| Completed | The employee worked the shift |
| Absent | The employee did not show up for the shift |
| Cancelled | The shift was removed from the schedule |
Conflict Detection
AccuArk automatically checks for scheduling conflicts. If you attempt to assign an employee to two overlapping shifts, the scheduler will display a warning and prevent the double-booking. This applies across all locations, so an employee cannot be scheduled at two different sites for the same time.
Weekly Hours Summary
At the end of each row in the week view, AccuArk displays the total scheduled hours for that employee. This summary makes it easy to balance workloads across the team.
Overtime Flagging
When an employee's scheduled hours exceed their maximum regular hours (40 hours by default), AccuArk highlights the overtime in the weekly summary. This gives you the opportunity to redistribute shifts before overtime costs are incurred. The threshold is tied to the weekly OT setting configured under Time Clock → Settings.
