Navigating the Inventory Browser

The Inventory Browser is the central hub for finding and managing your product catalog. It provides multiple ways to locate items quickly, even in catalogs with thousands of products. This guide covers every filtering and navigation feature available.

Opening the Inventory Browser

Navigate to Inventory > Browse Items from the main menu. The browser opens with a grid of items filtered to your current location's stock visibility.

Alphabetic Filter

Across the top of the browser, you will see letter buttons from A through Z plus an All button. Clicking a letter filters the item list to show only items whose names start with that letter. Click All to remove the alphabetic filter and show every item.

The alphabetic filter works in combination with other active filters — for example, you can select the letter "B" while also filtering by a specific category to see only category items starting with B.

Item Type Filter

A dropdown or button group lets you filter items by their type:

Selecting a type filter immediately refreshes the grid to show only matching items.

Category Tree View

On the left side of the browser, a tree view displays your category hierarchy. You can expand and collapse category branches to navigate your product organization. Selecting a category in the tree filters the grid to show only items assigned to that category (including items in child categories).

To clear the category filter, select the root node or click outside the tree selection.

Search

The search box at the top of the browser lets you find items by multiple fields simultaneously:

  • Item ID — The unique numeric identifier assigned by AccuArk
  • Name — The item's display name
  • SKU — Stock keeping unit code
  • Model — Model number or identifier
  • Reference — Your custom reference field
  • Description — The item's description text

Type your search term and press Enter or click the Search button. The search looks for partial matches across all of these fields, so typing "widget" will find items with "widget" anywhere in their name, SKU, model, reference, or description.

Virtual Scrolling and Pagination

The inventory browser uses virtual scrolling to handle large catalogs efficiently. Rather than loading every item at once, the grid loads items in pages as you scroll. When you reach the bottom of the currently loaded items, the next batch is fetched automatically.

This means the browser remains fast and responsive even with tens of thousands of items in your catalog.

Double-Click Behavior

Double-clicking an item in the grid performs different actions depending on how the browser was opened:

  • Edit Mode (EditItem) — When you open the browser from the main menu, double-clicking an item opens the full item editing form so you can view or modify all of its details.
  • Select Mode (SelectAndClose) — When the browser is opened from another form (such as a purchase order or stock adjustment), double-clicking an item selects it and returns it to the calling form, closing the browser.

Available for Sale Only

The Available for Sale Only filter mode restricts the grid to show only items that are:

  • Enabled (not disabled/inactive), AND
  • Either have stock greater than zero at the current location, OR have the Allow Orders Exceeding Stock flag enabled (meaning they can be sold even when out of stock)

This filter is useful for quickly seeing which items are actually sellable at your current location right now.

Location-Scoped Stock Visibility

The stock quantities displayed in the browser grid reflect the currently selected location context. If you are logged in at Location A, the stock column shows quantities at Location A. Users with access to multiple locations can switch the location context to view stock at other locations they have access to.

Items that exist in the global catalog but have zero stock at your current location will still appear in the browser (unless the Available for Sale Only filter is active), but their stock quantity will show as zero.

Cost Column Visibility

The cost column in the browser grid can be shown or hidden based on your needs. This is controlled by a visibility toggle — useful for situations where you want employees to browse items without seeing cost information. Users with management or accounting permissions can toggle cost visibility.

Tips

  • Combine filters for precision — Use the alphabetic filter, item type filter, and category tree together to narrow down large catalogs quickly
  • Search is the fastest path — If you know any part of an item's name, SKU, model, or ID, the search box is usually the quickest way to find it
  • Use categories consistently — Items without categories are harder to find in the tree view; assign categories during item creation for the best browsing experience
  • Right-click for actions — Right-clicking an item in the grid provides a context menu with quick actions like View, Edit, Adjust Stock, or Create Purchase Order
