Understanding the Machines List Screen
The Machines list screen lets you view and manage all POS terminals across your locations. You can filter by location, see active/inactive machines, and enable or disable terminals.
How to Open the Machines List
Navigate to Program → Machines from the main menu bar.
Screen Layout
Toolbar (top of screen):
| Control | What It Does |

| Location dropdown | Filter machines by a specific location, or choose "All Stores" to see everything |
| Show Inactive | Toggle button — when enabled, inactive (disabled) machines appear in the list in gray italic text |
| New | Creates a new POS machine |
| Disable | Deactivates the selected machine (only visible when an active machine is selected) |
| Enable | Reactivates the selected machine (only visible when "Show Inactive" is on and an inactive machine is selected) |
Machines Grid:
| Column | Description |
|---|---|
| ID | The system-assigned unique identifier for the machine |
| Machine Name | The name you gave this POS terminal |
| Status | Shows "Active" or "Inactive" (this column is only visible when Show Inactive is toggled on) |
| Location | The location name, address, phone, and email — displayed in a multi-line cell |
Filtering by Location
- Click the Location dropdown in the toolbar
- Select a specific store to see only its machines
- Select All Stores to see machines from every location
The dropdown only shows locations you have access to (based on your user permissions).
Viewing Inactive Machines
By default, only active machines are shown. To see disabled machines:
- Click the Show Inactive button in the toolbar
- The Status column becomes visible
- Inactive machines appear in gray italic text
- The Enable button becomes available when you select an inactive machine
Creating a New Machine
- Click New in the toolbar
- The Machine Configuration form opens
- Configure the machine settings (name, location, payment methods, etc.)
- Click Save & Close
- The list automatically refreshes to show the new machine
Disabling a Machine
Disabling a machine deactivates it and unbinds it from its current hardware. The machine can be reassigned to different hardware later.
- Select the machine you want to disable in the grid
- Click Disable in the toolbar
- Confirm the deactivation when prompted
- The machine is now inactive and freed from its hardware binding
Important: Disabling a machine frees up a subscription slot. This is useful when you need to move a license to a different terminal.
Enabling a Machine
Reactivating a machine makes it available for assignment to a workstation.
- Toggle Show Inactive to see disabled machines
- Select the inactive machine you want to reactivate
- Click Enable in the toolbar
- Confirm the reactivation when prompted
Important: Enabling a machine requires available capacity in your subscription. If all machine slots are in use, you will see a "Subscription Limit" message. You must either deactivate another machine or purchase additional machine add-ons.
Opening a Machine for Editing
Double-click any machine in the grid to open its full configuration screen.
Status Bar
The bottom of the screen shows how many machines are loaded (e.g., "5 machine(s) loaded") or "No machines found" if the selected location has no machines.
