Promotion Performance Report

The Promotion Performance Report gives you a comprehensive view of how your promotions are performing across your business. It answers critical questions: Which promotions are being used the most? How much discount is each promotion giving away? Are any promotions costing more than expected? This report is the starting point for analyzing and optimizing your promotion strategy.

Navigating to the Report

To access the Promotion Performance Report:

  1. Open the Marketing module from the main navigation.
  2. Click Reports in the Marketing submenu.
  3. Select Promotion Performance from the report list.

The report loads with default settings showing all promotions for the current month. You can adjust the filters to narrow the results to a specific time period, promotion type, or location.

What the Report Shows

The report displays a table with one row per promotion. Each row contains the promotion's name, type, status, and the following performance metrics:

Usage Count

The usage count is the total number of times the promotion was applied to an invoice during the selected date range. Each invoice where the promotion contributed a discount counts as one use, regardless of how many items in that invoice were affected.

Usage count helps you understand the reach of a promotion. A high usage count means the promotion is triggering frequently, which could indicate strong customer engagement or broad eligibility criteria. A low usage count may mean the promotion's conditions are too restrictive, the targeted items are not popular, or customers are not aware of the offer.

Total Discount Given

The total discount given is the sum of all discount amounts attributed to this promotion across all invoices in the selected date range. This is the total dollar cost of the promotion to your business.

This metric is essential for budgeting and cost control. If a promotion's total discount given is significantly higher than expected, it may be time to adjust the discount amount, tighten eligibility criteria, or set stricter usage limits.

Average Discount Per Use

The average discount per use is calculated by dividing the total discount given by the usage count. This tells you the typical dollar impact of the promotion on a single transaction.

Average discount per use is useful for comparing promotions of different types. For example, a BOGO promotion might have a lower average discount per use than a 20% invoice discount, even if both are used frequently. This metric helps you understand the per-transaction cost of each promotion.

Filtering the Report

The report includes several filter options to help you focus on the data that matters most:

Date Range

Select a start date and end date to limit the report to a specific time period. Only promotions that were applied to invoices within this date range are included in the results. The date filter uses the invoice date (the date the transaction was completed), not the promotion's creation date or start date.

Common date range selections include:

  • This week — See how promotions are performing in the current week.
  • This month — The default view, showing the current calendar month.
  • Last month — Compare current performance against the previous month.
  • Custom range — Select any start and end date for seasonal analysis or campaign-specific reporting.

Promotion Type

Filter the report by promotion type to compare promotions within the same category. Available types include:

  • Invoice Discount
  • BOGO (Buy One Get One)
  • Bundle Discount
  • Tiered Discount
  • Category Discount
  • Item Discount
  • First-Time Customer Discount
  • Happy Hour Discount
  • Flash Sale

Filtering by type is useful when you want to answer specific questions, such as "How are all of our BOGO promotions performing compared to each other?" or "What is the total cost of all invoice-level discounts this quarter?"

Location

Filter by a specific location to see promotion performance at a single store or branch. This is especially valuable for multi-location businesses where promotions may perform differently at different locations due to customer demographics, foot traffic, or local competition.

When no location filter is selected, the report aggregates data across all locations.

Sorting and Analyzing Results

The report table supports column sorting. Click any column header to sort the results:

  • Sort by usage count (descending) to find your most frequently applied promotions.
  • Sort by total discount given (descending) to find your most expensive promotions in terms of total cost.
  • Sort by average discount per use (descending) to find the promotions with the highest per-transaction impact.

Combining sorting with filtering gives you powerful analysis capabilities. For example, filter by BOGO type, sort by total discount given, and you can quickly see which BOGO promotions are costing the most.

Filter by different promotion types in sequence (BOGO, then tiered, then invoice discount) and compare the average discount per use and total discount given. This helps you determine which promotion mechanics deliver the best results for your goals — whether that is driving volume, increasing average transaction size, or clearing specific inventory.

Find Promotions That Are Giving Away More Than Expected

Sort by total discount given and look for outliers — promotions where the total cost is significantly higher than budgeted. This often happens when a promotion has broader eligibility than intended, when usage limits were not set, or when the discount amount was set too high. Use this insight to adjust the promotion's configuration before it erodes margins further.

Track Seasonal Trends

Run the report for the same date range across different years or seasons to identify trends. For example, compare your Black Friday promotion performance year over year to see whether your promotional strategy is improving or whether customer response is declining.
