How to Add Items to a Sale

There are several ways to add items to a sale on the POS screen. This article covers every method available in both the Standard and Compact POS.

Method 1: Scan a Barcode

This is the fastest way to add items.

  1. Make sure the cursor is in the Item Search box (it should be focused by default after each item is added)
  2. Scan the item's barcode with your barcode scanner
  3. The system automatically searches for the item and adds it to the sale with a quantity of 1
  4. The cursor returns to the search box, ready for the next scan

Tip: If the same item is scanned again, the system increases the quantity by 1 rather than adding a duplicate row.

Method 2: Type an Item ID, Name, or SKU

  1. Click in the Item Search box (or press F1 to focus it)
  2. Type any of the following:
    • The item's ID number (e.g., "1042")
    • The item's name or partial name (e.g., "coffee")
    • The item's SKU or model number
    • The item's reference number
  3. Press Enter or click the Search button
  4. If one item matches, it is added immediately
  5. If multiple items match, a selection dialog appears — click the correct item to add it
  6. If no items are found, you will see a "No Items Found" message (or the Quick Add dialog if enabled)

Method 3: Browse the Item Catalog

  1. Click the Browse Items button (or press Ctrl+B or F3)
  2. The Item Browser dialog opens, showing all items at your location
  3. You can filter by category, search by name, or scroll through the list
  4. Click an item to select it
  5. Click Add to add it to the sale
  6. Close the browser to return to the POS screen

Note: The Browse Items button is only visible if the Enable Browsing setting is turned on in Machine Settings.

Method 4: Gas Pump Items

If your machine has gas pumps enabled:

  1. Click the Gas Pump button (or press Ctrl+G or F4)
  2. Select the pump number
  3. Enter the quantity of fuel
  4. The fuel item is added to the sale

Special Barcode Types

AccuArk recognizes special barcode prefixes that trigger different actions:

Barcode Prefix What Happens
SN: Looks up an item by serial number and adds it (e.g., scanning "SN:ABC12345")
GIFT: Opens the gift card payment/redemption form
CUPN: Opens the coupon application form
RWRD: Looks up the customer by their loyalty/rewards card
CSTMR: Attaches the customer to the sale by their customer barcode
INVC: Looks up a previous invoice (cannot load during an active sale)

What Happens When an Item Is Added

When you successfully add an item:

  1. A new row appears in the items grid
  2. The quantity is set to 1 (or incremented if the item is already in the grid)
  3. The price is pulled from the item's current selling price
  4. Tax is calculated based on the item's tax type and the machine's tax rate
  5. The totals panel on the right updates immediately
  6. The cursor returns to the search box for the next item

Tips

  • If your barcode scanner is in auto-mode (configured in Machine Settings), items are added instantly without pressing Enter
  • Items with attributes (like size or color) will prompt you to select the attribute before adding
  • Package items (kits/bundles) will add the parent item plus all component items as a group
  • Items must be enabled and marked as Display in POS to appear in searches
