Machine Settings: Activity Logging and Audit Trail

The Activity Log tab in Machine Settings controls how detailed the POS activity tracking is.

Activity Logging Settings

Setting Description
Enable POS Logger Turns on activity logging for this machine. Every action (item added, payment made, refund, hold, etc.) is recorded.
Log Only Critical Activity When checked, only important events are logged (errors, discrepancies, voids, refunds). Routine events (item scans, searches) are skipped. Reduces log volume.
Enable Activity View When checked, cashiers can view the activity log on the POS screen during their shift (via the Action Menu → Activity Display). When unchecked, the log is recorded but not visible to cashiers.

What Gets Logged

When full logging is enabled, the system records:

Event Type Examples
Session Events Shift start, shift end, user login, user logout
Item Events Item added, item removed, quantity changed, price changed
Payment Events Cash payment, card payment, refund issued
Transaction Events Invoice held, invoice resumed, invoice cancelled
Discount Events Coupon applied, loyalty redeemed, manual discount
Cash Events Drawer opened, safe drop performed
Error Events Payment declined, connection timeout, processing error

Viewing the Activity Log

Administrators can view activity logs in two ways:

  1. On the POS screen — If "Enable Activity View" is checked, go to the Action Menu → Activity Display to see recent activity
  2. In the Activity Log tab — Open Machine Settings → Activity Log tab to search and filter logs by date range and activity type

When to Use Activity Logging

  • High-security environments — Enable full logging for complete audit trails
  • Training periods — Enable full logging to review new employee activity
  • Normal operations — Enable "Log Only Critical Activity" to track important events without filling the log
  • Low-risk environments — Logging can be disabled entirely if not needed

Tips

  • Activity logs help investigate discrepancies, missing cash, or disputed transactions
  • Logs include the user who performed each action and the exact time
  • Use date filters to narrow down log searches
  • Critical-only mode is a good balance between accountability and performance
