General Ledger & Tax Reports
AccuArk's accounting reports provide detailed visibility into your general ledger transactions and tax obligations. These reports are found under Reports > Accounting and require the RPT_VIEW_ACCOUNTING permission.
General Ledger Reports
The General Ledger report form offers three preset views, each accessible from the Accounting submenu.
General Ledger Detail
Access: Reports > Accounting > General Ledger Detail
The GL Detail report shows every individual transaction posted to the general ledger during the selected period. This is the most granular accounting report and is essential for account reconciliation and audit preparation.
Columns

| Transaction # | The unique transaction number (TXN-YYYY-NNNNN format) |
| Account | The GL account number and name |
| Description | The transaction memo or description |
| Debit | The debit amount (if applicable) |

| Running Balance | The cumulative balance for the account after this transaction |
When to Use It
Use the GL Detail report when you need to reconcile a specific account. For example, if your bank statement shows a balance that differs from AccuArk's cash account, run the GL Detail filtered to that account and date range. Compare each transaction line to the bank statement to find the discrepancy. This report is also commonly requested by auditors and accountants during year-end review.
Journal Entries
Access: Reports > Accounting > Journal Entries
The Journal Entries report lists all manual and system-generated journal entries for the period. Use this report to review the entries that have been posted and verify that each one was properly created.
Columns

| Total Debits | The sum of all debit lines in the entry |
| Total Credits | The sum of all credit lines in the entry |
| Created By | The user who created the journal entry |
| Status | The current status of the entry (Posted, Draft, Reversed) |
Total Debits and Total Credits must be equal for every journal entry. If they are not, the entry has a split error that must be corrected.
Journal Entry Audit
Access: Reports > Accounting > Journal Entry Audit
The Journal Entry Audit report provides a complete change history for all journal entries. Every time a journal entry is edited, the system records what changed, who changed it, and what the old and new values were.
Columns

| Entry # | The journal entry that was modified |
| Field Changed | Which field was updated (e.g., Amount, Account, Description) |
| Old Value | The value before the change |
| New Value | The value after the change |
| Changed By | The user who made the modification |
When to Use It
The Journal Entry Audit report is critical for compliance and internal controls. If a journal entry amount looks incorrect, this report shows exactly when it was changed and by whom. Auditors frequently request this report to verify that no unauthorized changes were made to accounting records. Run this report periodically as part of your internal review process.
GL Report Filters
All three GL report presets share the same filter controls:
- Location — Filter transactions to a specific location or view all locations
- Date Range — Set the start and end date for the reporting period
Tax Reports
The Tax reports help you prepare and file your sales tax returns. All four tax report presets are accessible from Reports > Accounting > Tax and share the same Location and Date Range filters.
Sales Tax Liability
Access: Reports > Accounting > Tax > Sales Tax Liability
This report shows the total tax you have collected and the amount you owe to each tax jurisdiction for the period. Use this report when filing your sales tax returns.
Columns

| Taxable Sales | Total sales subject to tax in this jurisdiction |
| Tax Rate | The tax rate applied |
| Tax Collected | The amount of tax actually collected from customers |
| Tax Owed | The amount you must remit to the jurisdiction |
If Tax Collected and Tax Owed differ, it may indicate rounding differences or tax-exempt sales that were partially taxed. Review the details before filing.
Taxable vs Non-Taxable
Access: Reports > Accounting > Tax > Taxable vs Non-Taxable
This report breaks down your total sales into taxable and non-taxable categories. It helps you verify that items are correctly classified for tax purposes.
Columns

| Non-Taxable Sales | Total sales that were exempt from sales tax |

If a category that should be taxable shows up under Non-Taxable Sales, check the tax settings for those items in the Inventory module.
Tax Exempt Sales
Access: Reports > Accounting > Tax > Tax Exempt Sales
This report lists every individual sale where tax was not collected due to an exemption. This is important for audit defense — if a tax authority questions why tax was not collected on a sale, this report provides the documentation.
Columns

Ensure that every tax-exempt sale has a valid Exemption Reason. Sales without a documented reason could be challenged during a tax audit.
Tax by Jurisdiction
Access: Reports > Accounting > Tax > Tax by Jurisdiction
This report provides a detailed breakdown of tax collected grouped by the specific taxing authority. Unlike the Sales Tax Liability report, which focuses on what you owe, this report emphasizes the tax authority structure and collection amounts.

This report is useful when you need to file with multiple overlapping jurisdictions (state, county, city, special district) and need to see the tax amounts separated by authority.
Tax Report Filters
All four tax report presets share the same filter controls:
- Location — Filter to a specific location or view all locations
- Date Range — Set the period to match your tax filing period (monthly, quarterly, or annual)
Tips for Using GL and Tax Reports
- Reconcile monthly — Run the GL Detail report for each bank account at the end of every month and compare it to your bank statement
- Review audit trails — Run the Journal Entry Audit report quarterly to ensure no unauthorized changes have been made
- Match tax periods — When running tax reports, set the date range to match exactly the filing period required by each jurisdiction
- Export for your accountant — Use CSV export to send GL Detail and Tax reports to your external accountant or CPA
- Check before filing — Always run the Taxable vs Non-Taxable report alongside the Sales Tax Liability report to cross-check totals before filing your return
