Getting Started with Reports & Analytics
AccuArk includes a comprehensive reporting system with over 100 built-in reports covering every aspect of your business. All reports are accessible from the Reports menu in the main menu bar.
How Reports Are Organized
Reports are grouped into 11 top-level categories in the Reports menu:
- Receivables — Sales analysis, trends, exceptions, payments received, accounts receivable, and POS shift reports
- Payables — Bills, vendor statements, credits, and AP payment reports
- Inventory — Stock levels, movement, costing, purchasing, and analytics
- Financial Statements — Profit and Loss, Balance Sheet, Cash Flow, and P&L by Location
- Accounting — General ledger detail, journal entries, and tax reports
- Cash Management — Drawer reconciliation, deposits, cash flow, and paid-in/paid-out
- Customers — Customer lists, activity, retention, and store credit/gift card analysis
- Employees — Time and attendance, labor analytics, and employee activity
- Marketing — Promotion performance, coupon usage, loyalty, campaign ROI, and redemption
- Audit & Security — Login audits, session tracking, permission changes, and sensitive action reviews
- Email Log — Sent email history and delivery tracking
Opening a Report
To open any report:
- Click Reports in the main menu bar
- Hover over the desired category (e.g., Receivables)
- Hover over the subcategory if applicable (e.g., Sales)
- Click the specific report name
Each report opens within the main application window inside the main application, so you can have multiple reports open at the same time.
Common Report Controls
Most reports share the same set of filter and action controls:
Filters
- Location — Filter data to a specific location or view all locations
- Date Range — Set a From and To date to control the reporting period
- Preset/View — Some reports offer multiple views (e.g., Sales by Category, Sales by Customer) selectable from a dropdown
Report Menu
Every report window has a menu bar with three menus:
- Report — Refresh data (F5) and Close the report
- Print — Print Preview, Print (Ctrl+P), and Page Setup
- Export — Export to CSV (Ctrl+E) and Export to PDF
Status Bar
The status bar at the bottom of each report shows:
- A loading indicator when data is being fetched
- The current status (Ready, Loading, etc.)
- The total number of records displayed
Exporting Data
CSV Export
Click Export > Export to CSV or press Ctrl+E to save the report data as a comma-separated values file. CSV files can be opened in Excel, Google Sheets, or any spreadsheet application for further analysis.
PDF Export
Click Export > Export to PDF to save the report as a formatted PDF document suitable for sharing or archiving.
Printing Reports
Click Print > Print Preview to see how the report will look on paper before printing. From the preview window, you can adjust settings and send it to any connected printer. Use Print > Page Setup to configure paper size and orientation.
Permissions
Access to reports is controlled by 18 role-based permissions grouped by category:

Super Admins and Location Admins have access to all reports by default. Other roles need specific permissions assigned.
Tips
- Use date ranges wisely — Narrower date ranges load faster and produce more focused results
- Export first, analyze later — Export to CSV when you need to do custom calculations or pivot tables
- Multiple reports — Open several reports side by side to compare data across categories
- Refresh often — Press F5 to refresh a report with the latest data if you have been working in another part of the system
