POS Sales, Sales by Item, and Sales Summary Reports
AccuArk provides three foundational sales reports that cover different levels of detail: the POS Sales Report for individual transaction lines, the Sales by Item Report for product-level performance, and the Sales Summary Report for high-level period totals. Each is a separate report form accessible from the Reports menu.
How to Access
Navigate to Reports > Receivables > Sales and choose one of the three reports:
- POS Sales Report
- Sales by Item Report
- Sales Summary Report
Each report opens in its own window within the main application.
Required Permission
You must have the RPT_VIEW_SALES permission to access any of the three sales reports. Super Admins and Location Admins have this permission by default.
Filters
All three reports share the same filter controls:
- Location — Select a specific store location or choose All Locations
- Date Range (From / To) — Set the start and end dates for the reporting period
After changing filters, press F5 or click Report > Refresh to reload the data.
POS Sales Report
The POS Sales Report is the most granular of the three. It shows every individual line item from every point-of-sale transaction during the selected period. If a customer bought three items in a single transaction, each item appears as its own row.
Columns

When to Use the POS Sales Report
The POS Sales Report is your go-to tool when you need to investigate individual transactions. Common scenarios include:
- Researching a customer complaint — Look up the invoice number to see exactly what was sold, at what price, and what discounts were applied.
- Verifying a refund — Find the original transaction to confirm the item, quantity, and amount before processing a return.
- Auditing discounts — Review all discounted lines to ensure discounts were applied correctly and within policy.
- Checking tax calculations — Verify that the correct tax rate was applied to each line item.
Because this report can contain a very large number of rows (one per line item per transaction), it is important to use narrow date ranges when possible. Exporting to CSV is recommended when you need to perform detailed analysis on large data sets.
Sales by Item Report
The Sales by Item Report aggregates sales data at the product level. Instead of showing individual transaction lines, it groups all sales of the same product together and provides totals and averages. This is the primary report for evaluating product performance.

When to Use the Sales by Item Report
The Sales by Item Report answers product-level performance questions:
- Which products generate the most revenue? — Sort by Revenue descending to see your top sellers.
- Which products have the best margins? — Sort by Profit or calculate Profit / Revenue to find your highest-margin items.
- Is a product selling at the expected price? — Compare the Avg Price column against the intended retail price. A lower average price may indicate excessive discounting.
- How many units are moving? — The Qty Sold column shows movement velocity, which is useful for inventory planning and reorder decisions.
- Which products are underperforming? — Items with low Qty Sold and low Revenue may be candidates for markdowns, promotions, or discontinuation.
The Sales by Item Report pairs well with inventory reports. Cross-reference the Qty Sold with the Stock Availability report to ensure popular items are adequately stocked.
Sales Summary Report
The Sales Summary Report provides the highest-level view of sales performance for the selected period. Rather than listing individual items or transactions, it presents a single set of aggregate totals for the entire period.

When to Use the Sales Summary Report
The Sales Summary Report is designed for executive-level review and quick daily check-ins:
- Daily performance check — Open the Summary for today to see total transactions, net sales, and gross profit at a glance.
- Period-over-period comparison — Run the report for this month and last month separately, then compare key metrics like Net Sales and Gross Profit to measure growth.
- Discount impact analysis — Compare the Discounts total against Gross Sales to understand what percentage of revenue is being given away as discounts.
- Return rate monitoring — Divide Returns by Gross Sales to track your return rate. A rising return rate may indicate product quality issues or overly lenient return policies.
- Margin tracking — Divide Gross Profit by Net Sales to calculate your gross margin percentage. Monitor this over time to catch margin erosion early.

Tips
- Start with the Summary — Use the Sales Summary Report first to get the big picture, then drill down into the Sales by Item Report for product details or the POS Sales Report for transaction-level investigation.
- Export Sales by Item for product reviews — Export to CSV and sort by Profit to create a product performance review spreadsheet for your buying team.
- Narrow your date range — The POS Sales Report can return a very large number of rows. Always use the tightest date range that answers your question.
- Watch the Avg Price column — If a product's average selling price is below its intended retail price, investigate whether unauthorized discounts are being applied.
- Compare COGS regularly — If the COGS column shows unexpected values, check whether item cost prices have been updated correctly in the inventory system.
