Clock In/Out Detail (ClockDetail)
This preset shows every individual time clock entry for the selected date range. Each row represents a single shift or partial shift.
Columns
| Column | Description |
|---|---|
| Employee | The employee's full name |
| Date | The calendar date of the clock entry |
| Clock In | The exact time the employee clocked in |
| Clock Out | The exact time the employee clocked out (blank if still clocked in) |
| Clock In Source | How the clock-in was recorded — POS Terminal, Web Portal, Mobile App, or Manual Entry |
| Clock Out Source | How the clock-out was recorded — same source types as Clock In Source |
| Status | The current status of the time entry (see statuses below) |
| Total Worked | The total elapsed time from Clock In to Clock Out |
| Break Time | The total break duration deducted from the shift |
| Net Worked | Total Worked minus Break Time — the actual billable hours |
Time Entry Statuses
Each time clock entry has one of the following statuses:
- Open — The employee is currently clocked in and has not yet clocked out. Open entries will show a blank Clock Out time and the Total Worked column updates based on the current time.
- Closed — The employee has clocked out normally. The entry is complete and ready for payroll processing.
- Adjusted — A manager has manually edited the clock-in time, clock-out time, or both. Adjustments are tracked in the Edited Punches audit trail.
- Approved — A manager has reviewed and approved the entry for payroll. Approved entries cannot be further edited without first unapproving them.
- Locked — The entry has been included in a completed payroll run and is permanently locked. Locked entries cannot be edited.
The typical lifecycle of a time entry is: Open, then Closed (when the employee clocks out), then optionally Adjusted (if corrections are needed), then Approved (manager sign-off), and finally Locked (after payroll processes).
Hours Worked Summary (HoursSummary)
This preset aggregates time clock data per employee for the selected date range, providing a high-level summary of hours worked.
Columns
| Column | Description |
|---|---|
| Employee | The employee's full name |
| Location | The location where the hours were recorded |
| Total Days | The number of distinct calendar days the employee worked |
| Total Hours | The total hours worked across all shifts in the period |
| Regular Hours | Hours worked at the regular rate (up to 40 hours per week or 8 hours per day, depending on your overtime rules) |
| Overtime Hours | Hours worked at 1.5x rate — typically hours over 40 in a week or over 8 in a day |
| Double Time Hours | Hours worked at 2x rate — typically hours over 12 in a day or on the 7th consecutive workday, where applicable |
| Break Hours | The total break time deducted across all shifts |
This preset is ideal for a quick overview of each employee's attendance and for verifying that total hours match payroll expectations before running payroll.
Overtime Summary (OvertimeSummary)
This preset focuses on the cost implications of overtime and double time hours. It is designed for managers who need to monitor labor cost overruns.
Columns
| Column | Description |
|---|---|
| Employee | The employee's full name |
| Location | The location where the hours were recorded |
| Regular Hours | Hours at the base pay rate |
| Regular Cost | Regular Hours multiplied by the employee's hourly rate |
| OT Hours | Overtime hours at 1.5x the base rate |
| OT Cost | OT Hours multiplied by the overtime rate |
| Double Time Hours | Hours at 2x the base rate |
| DT Cost | Double Time Hours multiplied by the double time rate |
| Total Cost | The sum of Regular Cost + OT Cost + DT Cost |
Understanding Overtime Calculation
AccuArk calculates overtime using the following rules:
- Weekly overtime — Any hours over 40 in a single work week are classified as overtime (1.5x rate)
- Daily overtime — If daily overtime rules are enabled in company settings, hours over 8 in a single day are overtime and hours over 12 are double time
- Consecutive day rules — Where applicable, the 7th consecutive workday in a week triggers double time for all hours worked that day
The overtime calculation uses the employee's base hourly rate from their salary record. For salaried employees, the system derives an equivalent hourly rate for overtime purposes.
Break Compliance (BreakCompliance)
This preset monitors whether employees are taking their required breaks in accordance with labor law and company policy.
Columns
| Column | Description |
|---|---|
| Employee | The employee's full name |
| Date | The calendar date of the shift |
| Shift Duration | The total length of the shift from clock-in to clock-out |
| Required Breaks | The number of breaks required based on shift duration and company/legal rules |
| Actual Breaks | The number of breaks the employee actually took |
| Break Minutes | The total minutes of break time recorded |
| Compliant | Yes or No — whether the employee met the minimum break requirements |
Break Types
AccuArk tracks three types of breaks:
- Break — A short rest break, typically 10-15 minutes. These are usually paid breaks.
- Lunch — A meal break, typically 30-60 minutes. These are usually unpaid breaks.
- Other — Any other type of break defined by company policy.
Each break type can be configured as paid or unpaid in your company settings. Paid breaks count toward total worked hours while unpaid breaks are deducted.
Why Break Compliance Matters
Many jurisdictions require employers to provide meal and rest breaks based on shift length. For example, a common rule is that employees working more than 5 hours must receive a 30-minute unpaid meal break, and employees working more than 6 hours must receive two 10-minute paid rest breaks. Failure to comply with these rules can result in penalties, fines, and back-pay obligations.
The Break Compliance report makes it easy to identify non-compliant shifts before they become a liability. Review this report regularly, especially for locations with a high volume of hourly employees.
Edited Punches Audit (EditedPunches)
This preset provides a complete audit trail of all manual changes made to time clock entries. Every time a manager edits a clock-in time, clock-out time, or other field, a record is created here.
Columns
| Column | Description |
|---|---|
| Date | The date of the original time clock entry that was edited |
| Employee | The employee whose time entry was changed |
| Entry ID | The unique identifier of the time clock entry |
| Field Changed | Which field was modified (e.g., Clock In, Clock Out, Break Duration) |
| Old Value | The original value before the edit |
| New Value | The new value after the edit |
| Reason | The reason provided by the manager for the adjustment |
| Adjusted By | The name of the manager who made the change |
| Adjusted At | The date and time when the adjustment was made |
This report is essential for payroll auditing and for resolving disputes. If an employee questions their hours or pay, the Edited Punches audit provides a clear, timestamped record of every change and who made it.
Common Use Cases
- Pre-payroll verification — Run the HoursSummary for the pay period and compare Total Hours against expected schedules before processing payroll
- Overtime budget monitoring — Run the OvertimeSummary weekly to catch overtime trends early and adjust scheduling before costs escalate
- Break compliance audit — Run the BreakCompliance report monthly and address any non-compliant shifts with the relevant employees and managers
- Time theft investigation — Use ClockDetail to review suspicious patterns such as early clock-ins, late clock-outs, or repeated short shifts
- Edit accountability — Run the EditedPunches report after each pay period to ensure all time adjustments are documented and justified
Tips
- Review open entries — Check ClockDetail for entries with an Open status that may indicate employees who forgot to clock out
- Compare locations — Use the Location filter to compare overtime patterns and break compliance across different stores
- Export before payroll — Export the HoursSummary to CSV as a permanent record before locking entries for payroll
- Use date ranges matching pay periods — Always set Date From and Date To to match your pay period boundaries for accurate totals
- Watch for patterns — Repeated non-compliance in the BreakCompliance report may indicate a scheduling issue rather than an employee issue
