Card Template Management and Photo Tips

Templates are the key to efficient card production in AccuArk's Card Printer. By saving your layout configuration as a template, you can produce consistent, professional cards without reconfiguring the design each time. This guide covers template operations in detail and provides best practices for photos and back side layout.

Saving Templates

To save the current card layout as a template, use Menu > Save Template or press Ctrl+S. A dialog prompts you to enter a descriptive template name.

Choose a name that clearly identifies the template's purpose and key characteristics. Good template names include:

  • “Employee ID - Blue CR-80”
  • “Gift Card - Gold Background”
  • “Loyalty Card - Mini Key Fob”
  • “Visitor Pass - Red CR-100”
  • “Holiday Gift Card - Green 2026”

A well-named template makes it easy to find the right layout when you have multiple templates saved for different card types and occasions.

What Templates Save

Templates store the complete layout configuration of the card. This includes all of the following settings:

  • Card dimensions — The selected card size preset (or custom width and height)
  • Margins — Top, bottom, left, and right margin values
  • Font family — The selected typeface for all text on the card
  • Four font sizes — Title font size, name font size, detail line font size, and back text font size
  • Photo zone position and size — X position, Y position, width, and height of the photo area
  • Text zone position — The positioning of the text block on the front of the card
  • Barcode zone position and size — X, Y, width, and height for both the front and back barcodes
  • All four colors — Background color, title color, text color, and accent color
  • Border style — Solid, Rounded, or None
  • Feature toggles — Show Photo (on/off), Show Barcode (on/off), Show Title (on/off), Show Border (on/off), and Show Back Barcode (on/off)

What Templates Do NOT Save

Templates are layout configurations only. They do not save actual card data, which includes:

  • Names, titles, or any text field content
  • Detail line text (positions, ID numbers, dates, balances)
  • Back side text (company name, address, phone, website)
  • Barcode values
  • Loaded photographs

This separation of layout from data is intentional and beneficial. It means you can reuse the same “Employee ID - Blue CR-80” template for every employee in your organization. Load the template, then load different employee data each time. The layout stays consistent while only the personal information changes.

Loading Templates

To load a previously saved template, use Menu > Load Template or press Ctrl+O. A dialog appears listing all saved templates by name.

Select the desired template and confirm. All layout fields on the form update immediately to match the template's stored values. The card dimensions, colors, font settings, zone positions, border style, and feature toggles are all applied at once.

After loading a template, the data fields (name, detail lines, barcode value) remain empty or retain their previous values. You then enter the cardholder's specific information, either manually or by auto-populating from an employee, customer, or gift card record.

Cloning Templates

The Card Printer supports cloning through a save-as workflow:

  1. Load an existing template using Menu > Load Template
  2. Modify any layout settings you want to change (for example, switch the accent color from blue to green, or change the card size from CR-80 to CR-100)
  3. Save with a new name using Menu > Save Template
  4. Enter a new, descriptive name for the modified version

The original template is preserved unchanged. You now have two templates: the original and the modified clone. This workflow is useful for creating variations of a base design, such as different color schemes for different membership tiers or different card sizes for different purposes.

Deleting Templates

To delete a template, open the Load Template dialog (Menu > Load Template or Ctrl+O). Select the template you want to remove from the list, then click the Delete button.

Template deletion is permanent and cannot be undone. There is no recycle bin or undo mechanism for deleted templates. Before deleting, make sure you no longer need the template. If you are unsure, consider renaming the template (by loading it and saving with a new name) rather than deleting it.

Photo Best Practices

The quality and consistency of photos significantly impacts the professional appearance of your printed cards. Follow these guidelines for the best results.

Recommended Dimensions

For card-sized prints on CR-80 cards, a minimum photo resolution of 300 x 400 pixels is recommended. This provides sufficient detail for a clear, sharp photo at the typical photo zone size on an ID card. Higher resolution photos (600 x 800 or above) will produce even sharper results, especially if the photo zone is configured to be larger than the default.

Photos smaller than 300 x 400 pixels may appear pixelated or blurry when printed, particularly on high-resolution card printers (300 DPI and above). Always use the highest resolution photo available.

Supported Image Formats

The Card Printer accepts four image formats:

  • PNG — Lossless compression with support for transparency. PNG is the best choice for photos that have been professionally edited, as it preserves every pixel without any quality loss. Recommended for maximum quality.
  • JPG / JPEG — Lossy compression that produces smaller file sizes. JPG is the most common format for digital photographs taken with cameras and smartphones. The compression artifacts in JPG files are generally not noticeable at card-print sizes, making JPG a practical choice for employee headshots.
  • GIF — Limited to 256 colors. GIF is supported but not recommended for photographic images because the limited color palette produces visible banding and dithering in photos. GIF is acceptable for simple logos or icons.
  • BMP — Uncompressed bitmap format. BMP files are very large but have no quality loss. BMP is supported for compatibility with older systems and scanners that output in this format.

Aspect Ratio Handling

The Card Printer preserves the photo's original aspect ratio when displaying it in the photo zone. The image is scaled to fit entirely within the defined zone dimensions, and any remaining space is left blank. This means:

  • A landscape photo placed in a portrait-oriented zone will be scaled to fit the width, with blank space above and below
  • A portrait photo placed in a landscape-oriented zone will be scaled to fit the height, with blank space on the sides
  • A photo whose aspect ratio matches the zone will fill the entire zone with no blank space

For the most polished results, crop employee photos to approximately match the aspect ratio of your photo zone before loading them into the Card Printer.

Photo Tips for Employee IDs

  • Plain background — Take all employee photos against a plain, neutral background (white, light gray, or light blue). This eliminates distracting background elements and creates a clean, professional look.
  • Consistent framing — Frame all photos as head-and-shoulders shots, with the subject centered. Consistent framing across all employee photos creates a uniform appearance when badges are compared side by side.
  • Good lighting — Use even, front-facing lighting to avoid harsh shadows. Natural light from a window works well, or use a simple desk lamp positioned in front of and slightly above the subject.
  • Recent photos — Use current photos so employees are easily recognizable from their badges. Update badge photos when an employee's appearance changes significantly.

Back Side Layout Tips

The back side of the card has four text lines that are centered horizontally on the card. Effective back side layout follows a logical information hierarchy.

Recommended Line Order

For company-branded cards (employee IDs and loyalty cards), the standard back layout is:

  • Line 1 — Company name (largest, most prominent text on the back)
  • Line 2 — Street address (or city, state, zip)
  • Line 3 — Phone number and email address
  • Line 4 — Website URL or company tagline

For gift cards, consider adjusting the back layout:

  • Line 1 — Company name
  • Line 2 — “To check your balance, visit [website]”
  • Line 3 — “Valid at all locations” or location-specific redemption details
  • Line 4 — “Non-refundable. No cash value.” or other terms

Back Barcode

Enable the Show Back Barcode toggle if you need a secondary barcode on the back of the card. The back barcode is positioned and sized independently from the front barcode, using its own set of X, Y, Width, and Height fields.

Common uses for a back barcode include:

  • A QR code linking to the company's website, rewards program page, or the cardholder's online profile
  • A secondary identification code that encodes different data than the front barcode (for example, a department code or access level)
  • A URL barcode that links to terms and conditions, a balance-check page, or a feedback survey

The back barcode position is completely separate from the front barcode position. You can place the back barcode at the bottom center of the back side (below the text lines) for easy scanning, or position it in a corner if space is limited.

Load Company Shortcut

The Load Company button is the fastest way to populate the back side. It pulls the company name, address, phone, and website directly from AccuArk's company settings (configured in the Company Settings screen). This ensures the back side information stays consistent with your official company details.

After loading, you can edit any line. For example, you might want to replace the full street address with just the city and state, add a department-specific phone extension, or replace the website with a seasonal promotion URL.
