How to Print Business Envelopes

AccuArk's Envelope Printer lets you print professionally addressed envelopes directly from your computer. This guide walks through the complete process from entering addresses to sending the envelope to your printer.

Opening the Envelope Printer

Navigate to Tools > Envelope Printer from the main menu bar. This tool requires the TOOL_USE_PRINTERS permission. If you do not see the menu item, ask your administrator to grant this permission to your role.

Address Fields

The Envelope Printer has two address blocks that you fill in:

Return Address (Sender)

The return address appears in the upper-left area of the envelope. It contains the following fields:

  • Name — Your name or your company's name
  • Address — Street address line
  • City / State / Zip — City, two-letter state abbreviation, and ZIP code

Type directly into each field or use the Load Company button to auto-fill from your company settings.

Recipient Address (Delivery)

The recipient address prints in the center area of the envelope. It includes:

  • Name — The person the envelope is addressed to
  • Company — The recipient's company or organization (optional)
  • Address — Street address line
  • City / State / Zip — City, state, and ZIP code

All fields are standard text entry. Type the address exactly as it should appear on the printed envelope.

Envelope Presets

Select an envelope size from the Preset dropdown to automatically set the envelope width and height. Available presets include:

When you select a preset, the width and height fields update automatically. If you choose Custom, type your envelope's exact dimensions into the width and height fields.

Address Positioning

Each address block has X and Y offset coordinates measured in inches. These control exactly where the address prints on the envelope.

  • X offset — Horizontal distance from the left edge of the envelope
  • Y offset — Vertical distance from the top edge of the envelope

The return address defaults to the upper-left corner of the envelope. The recipient address defaults to the center area, which is the standard placement for postal delivery.

Adjust these values if your printer feeds envelopes differently or if the printed output is shifted from where you expect it. Small adjustments of 0.1 inches can make a noticeable difference.

Date Printing

The Envelope Printer includes an optional toggle to print the current date on the envelope. When enabled, the date prints in the upper-right area following standard business envelope conventions.

This is useful for formal business correspondence where the mailing date should be visible on the envelope itself.

Preview and Print

The right side of the Envelope Printer window shows a real-time preview of exactly how the envelope will print. As you type addresses, change fonts, or adjust positioning, the preview updates immediately so you can see the result before printing.

To print the envelope:

  1. Verify the preview looks correct — check that both addresses are positioned properly and all text is legible
  2. Load an envelope into your printer's manual feed tray or envelope slot
  3. Press Ctrl+P to send the envelope to your printer

Printer tip: Most printers have a dedicated manual feed or envelope slot. Check your printer's documentation for the correct way to load envelopes. Feeding envelopes through the standard paper tray can cause jams or misaligned printing. Print a test on plain paper first if you are unsure of your printer's envelope handling.
