How to Print Employee Paystubs

The Paystub Printer produces professional payroll stubs that show everything an employee needs to understand their compensation: earnings, deductions, benefits, hours worked, and year-to-date totals. Navigate to Tools > Paystub Printer from the main menu bar. Access requires the TOOL_PAYSTUB_PRINTER permission, which is assigned to Manager and above by default.

Employee and Period Information

The top section of the paystub contains identifying information about the employee and the pay period:

  • Employee Name — the employee's full name as it appears on their employee record
  • Employee ID — the numeric employee identifier from AccuArk
  • Department — the department the employee belongs to
  • Pay Period Start Date — the first day of the pay period covered by this stub
  • Pay Period End Date — the last day of the pay period covered by this stub
  • Pay Date — the date the employee is paid (the check date or direct deposit date)
  • Salary Type — indicates whether the employee is Salary, Hourly, or another compensation type

These fields establish the context for the paystub and appear prominently in the header area of the printed document.

Hours and Rates

For hourly employees, the hours and rates section provides the basis for earnings calculations:

  • Regular Hours — the number of standard hours worked during the pay period
  • Overtime Hours — the number of overtime hours worked during the pay period
  • Regular Rate — the employee's standard hourly pay rate
  • Overtime Rate — the employee's overtime hourly pay rate (typically 1.5x the regular rate)

These fields are most relevant for hourly employees and feed into the earnings section below. For salaried employees, hours fields can be left at zero or populated with standard hours for informational purposes.

Earnings Section

The earnings section lists every component of the employee's gross pay for the period:

  • Base Salary or Hourly Wages — the primary earnings amount, calculated from hours and rate for hourly employees or from the salary amount for salaried employees
  • Overtime Pay — additional earnings for overtime hours worked, calculated as overtime hours multiplied by the overtime rate
  • Bonuses — any bonus payments included in this pay period
  • Commissions — any commission earnings included in this pay period

Each earnings line item displays the item name, hours (if applicable), rate (if applicable), and the calculated dollar amount. The earnings section represents the total compensation before any deductions are applied.

Deductions Section

The deductions section lists every amount withheld from the employee's gross pay:

  • Federal Income Tax — federal tax withholding based on the employee's W-4 elections
  • State Income Tax — state tax withholding based on the employee's state tax elections
  • Social Security (FICA) — the employee's share of Social Security tax
  • Medicare — the employee's share of Medicare tax
  • 401(k) Contributions — pre-tax or Roth retirement plan contributions
  • Garnishments — any court-ordered wage garnishments
  • Union Dues — any union membership fees deducted from pay
  • Other Deductions — any additional withholdings specific to the employee

Each deduction line item shows the deduction name and the dollar amount withheld. Percentage-based deductions display both the percentage and the calculated dollar amount.

Benefits Section

The benefits section lists employer-provided benefits and the employer's contribution amounts:

  • Health Insurance — the employer's contribution toward the employee's health plan
  • Dental Insurance — the employer's contribution toward dental coverage
  • Vision Insurance — the employer's contribution toward vision coverage
  • Life Insurance — the employer's contribution toward life insurance
  • HSA Contributions — employer contributions to the employee's Health Savings Account

Each benefit line item shows the benefit name and the employer contribution dollar amount. Benefits are listed for informational purposes and represent compensation value beyond the employee's take-home pay.

Totals

Three summary totals appear at the bottom of the paystub and calculate automatically from the line items above:

  • Gross Pay — the sum of all earnings line items before any deductions are applied
  • Total Deductions — the sum of all deduction line items withheld from gross pay
  • Net Pay — the employee's take-home pay, calculated as Gross Pay minus Total Deductions

These totals update automatically whenever earnings or deduction line items are added, removed, or modified. You do not need to calculate them manually.

Year-to-Date Totals

When the Show YTD toggle is enabled, the paystub includes cumulative year-to-date columns:

  • YTD Gross — total gross earnings for the calendar year through this pay period
  • YTD Deductions — total deductions withheld for the calendar year through this pay period
  • YTD Net — total net pay received for the calendar year through this pay period

Year-to-date totals help employees track their cumulative earnings and tax withholdings throughout the year. This is especially useful at year-end when employees are reconciling their W-2 information.

Company Information

The company name and address appear in the header section of the paystub, identifying the employer. Click the Load Company button to pull this information automatically from your AccuArk company settings. This saves you from typing the company name and address manually and ensures consistency across all printed paystubs.

Printing

Press Ctrl+P to send the paystub to the printer. The paystub is formatted for professional appearance with clearly separated sections for earnings, deductions, benefits, and totals. Each section uses consistent alignment and spacing so that the document is easy to read and suitable for employee distribution.

Tips

  • Always verify the pay period dates and pay date before printing to ensure the stub covers the correct period.
  • For the most accurate paystubs, load data from finalized salary records rather than entering amounts manually.
  • Use the Load Company button to maintain consistent company branding across all paystubs.
  • Review the totals section to confirm that Net Pay equals Gross Pay minus Total Deductions before printing.
