Loading Company and Customer Addresses for Envelopes

Typing addresses manually for every envelope is slow and error-prone. AccuArk's Envelope Printer can pull addresses directly from your company settings and customer records so you spend less time on data entry and more time on productive work.

Load Company Info for the Return Address

Click the Load Company button to auto-fill the return address fields from your AccuArk company settings. This pulls the information stored under Settings > Company Information, including:

  • Company name
  • Street address
  • City
  • State
  • ZIP code

This is the fastest way to set up the return address for standard business mailings. Instead of typing your company's address on every envelope, one click fills everything in. Make sure your company information is up to date in Settings before relying on this feature.

Loading from Customer Records

When the Envelope Printer is opened from a customer context — for example, from a client's profile or from an invoice — the recipient address fields are automatically populated from the customer's record. This includes:

  • Client name
  • Company name
  • Street address
  • City, state, and ZIP code

This automatic population saves time when you are mailing documents to a client you already have on file. The address comes directly from the client record in the database, so it matches what you have stored for that customer.

Loading from Client Address Records

AccuArk supports multiple addresses per client. A single client might have a billing address, a shipping address, a headquarters address, and a branch office address all on file.

When a specific client address is selected before opening the Envelope Printer, that particular address is loaded into the recipient fields rather than the client's default address. This is important when:

  • A client has separate billing and shipping locations
  • You need to mail to a branch office instead of the main address
  • A client has recently moved and has both an old and new address on file

Always verify that the correct address record is selected before printing, especially for clients with multiple addresses.

Pre-Printed Envelopes

Many businesses use envelopes with a pre-printed return address in the upper-left corner. If you use this type of envelope stock, you do not want the Envelope Printer to also print a return address — it would overlap with the pre-printed one.

To handle this, toggle the Print Return Address option off. When disabled:

  • Only the recipient address is printed on the envelope
  • The return address fields are still visible in the form but will not be sent to the printer
  • The preview updates to show only the recipient address

This prevents any overlap between your pre-printed return address and a digitally printed one.

Template Tips for High-Volume Mailings

If you send envelopes frequently, setting up templates can save significant time. Here is a recommended workflow:

  1. Open the Envelope Printer and select your envelope preset (e.g., Business #10)
  2. Click Load Company to fill in your return address
  3. Set your preferred font, font sizes, and positioning
  4. Save this configuration as a template with a descriptive name like "Business #10 - Company Return"

When you need to send an envelope:

  1. Load the saved template
  2. Enter only the recipient's address (or let it auto-fill from a client record)
  3. Print

This reduces repetitive data entry for high-volume mailings. You can create multiple templates for different scenarios:

  • "Business #10 - Company Return" — Standard business envelope with your company return address
  • "Business #10 - No Return" — For pre-printed envelopes, return address printing disabled
  • "Euro DL - Company Return" — European DL size with your company return address
  • "Business #6 - Personal" — Smaller envelope with a personal name as the return address

Having these templates ready means you can go from opening the Envelope Printer to printing a finished envelope in seconds.
